If you are planning events on May 6 specifically pertaining to GiveBIG, please email us at givebig@seattlefoundation.org as soon as possible and no later than April 23 [corrected] with the following information:

  • Your name/title
  • Your contact information
  • Your organization’s name
  • A brief description of the event
  • Event time
  • Event location

We can’t guarantee that your organization will be profiled, but we encourage you to tell us what you’re doing so we can share your stories with our media partners!

Testing: Please test your donation page if you haven’t yet. Many nonprofits already have, and we’re very glad to be catching a number of issues now instead of right before or on the day of the event. Due to the large number of participating organizations, it will be nearly impossible for us to correct any issues the day of the event. Instructions on how to test your account are included in the toolkit (page 4).

We’re pleased to provide the latest GiveBIG Nonprofit Toolkit, now available for download from our GiveBIG Resources for Nonprofits page.

For those of you who have participated in GiveBIG before, you may notice that this year’s toolkit is a little heftier than years’ past. There are two reasons for this:

  1. We’re really excited about this year’s theme, which honors the heroes in our community who are working to improve lives, strengthen families, to better our world. You’ll find additional information about applying that theme to your communications materials, as well as a set of “hero” icons and a screencast on how to apply those icons to your images!
  2. We also made the Toolkit more of a “one-stop-shop” document for participating nonprofits. Not only does it contain information about communications, social media, theme application, etc., but it is also the go-to place for information about updating your profile, testing your donation link, running reports in Click & Pledge, and more. We hope that you find it useful.

Here are some Frequently Asked Questions to help you as you prepare for the big day:

Q: Will you provide design files/logos that nonprofits can use for the event this year?
A: Yes. Here is what you can expect to see in the coming weeks:

  • Nonprofit Toolkit – containing helpful hints, tips, tools, and advice to help you prepare for May 6.
  • Design files – the latest GiveBIG logos and other design tools for use on the web and social media.

Q: I participated in GiveBIG last year. What do I need to do to get ready for GiveBIG?
A: Your nonprofit organization’s profile is live on our website year-round. You can find your profile using the search box in the upper right section of most pages on the website. Please review the profile information and submit any updates by April 1. If you see a credit card donation option under the Donate Now button, you are all set. If you signed up for Click & Pledge recently, it may still be in process.

Q: I am new to the event and eager to get going! I requested a profile and signed up for Click & Pledge. What happens next?
A: When your profile is ready for you to edit, you will receive an email with instructions. Please respond quickly to any requests from Click & Pledge and TransFirst Bank to ensure your account is activated. When your Click & Pledge account is live, we will also add the credit card donation link to your organization’s profile.

Q: I am new to my organization and the organization has had a profile for a while. How do I get a login to edit the nonprofit organization profile?
A: Please register on our site and  then send an email to webprofile@seattlefoundation.org and include your name, your organization, and the login you created. We will email you with instructions for editing the profile once we complete your access request (usually within a few days). Please make sure you submit any updates to your organization’s profile for review by our staff by April 1.

We are pleased to announce that The Seattle Foundation’s fourth annual GiveBIG will take place on Tuesday, May 6, 2014.

We recommend that nonprofits wait until at least a month before the event to start promoting GiveBIG to their supporters. This is to maximize impact and create excitement around the event, as well as lessen donor fatigue (we don’t want our community to be tired of GiveBIG before it even starts!).

All donations made by credit card through our website on May 6 (24-hour period) will be proportionally matched by a “stretch pool” of funds. We’ll be working on raising funds up until the last minute to try to maximize the amount of the stretch pool, so we won’t know the exact amount until closer to the event.

What’s new for GiveBIG 2014?

  1. Cap on Donations: We have made a change to help the “stretch pool” go further: we will “stretch” all donations up to $5,000 per donor, per organization. So, for example, if a GiveBIG donor makes one $10,000 gift to one organization, then we will only stretch the first $5,000 of that gift. But, if a GiveBIG donor makes five $5,000 gifts to five different organizations, all of those gifts will be fully stretched. To clarify: this $5,000 cap applies to individual donations. It does NOT mean that we will only stretch the first $5,000 that your organization receives on GiveBIG day!
  2. Increased Contribution to the Stretch Pool: The Seattle Foundation contributed $250,000 to the GiveBIG “stretch pool” in 2013, and we are doubling our contribution to $500,000 for 2014! We will still be raising funds to increase the size of the stretch pool, with the hope of raising at least $1 million.
  3. Credit Card Transaction Fee: Our online donations processor, Click & Pledge, has lowered the per-transaction processing fee to a flat rate of 2.85% for most credit cards. (Please note that some credit cards, usually rewards or business credit cards, carry an additional non-qualified fee of 1%.)

Remember:

If you don’t have a profile on our website yet and you are a 501(c)(3) organization that would like to participate in GiveBIG on May 6, please go to the For Nonprofits page on our website and click on “submit a nonprofit organization profile query” in the right-hand column. The query submission deadline is March 3!

If you still need to apply for Click & Pledge to receive donations on GiveBIG day, the deadline is also March 3! (Not sure if you’re signed up for Click & Pledge or not? See this recent blog post.)

We’re getting a lot of questions about tax receipts for GiveBIG 2013 donations as people are working on their 2013 tax returns.

For GiveBIG 2013 participants who may be getting questions about 2013 tax receipts:

  • When a donation is made, Click & Pledge automatically sends an email acknowledgement that serves as the donor’s tax receipt.
  • GiveBIG donations are made directly to your organization, so the tax receipt should state that the gift was made to your organization (not to The Seattle Foundation).
  • If you are contacted by donors who have lost their receipts, you can log in to the Click & Pledge administrative site and send them a copy. Once there, choose Account Info > Reports > Send Receipt, then enter the donor’s name and set the date range to include May 15, 2013. Choose submit, then click on the order number for the receipt you want to send. Enter the email address and choose Send Receipt. (You can also download a copy if you would like a copy.)

For GiveBIG 2014 participants – how you should handle receipts this year: 

  • You do not need to send your donors a tax receipt because Click & Pledge sends one automatically when a donation is completed. The receipt goes to the email address specified by the donor on the donation form.
  • Even though donors automatically receive a donation receipt from Click & Pledge for tax purposes, a personalized letter or email from you will help to deepen their connection to your organization. (You might also use this opportunity to remind donors that they should have received an email receipt from Click & Pledge at the time the donation was completed.) 
  • If you send your supporters a year-end summary of their donations, please note that the full GiveBIG donation amount is tax deductible.

For fiscally sponsored organizations: please contact your fiscal sponsor directly if you have any questions about the tax receipts for donations intended to support your organization.

The Seattle Foundation works with Click & Pledge, an online donations provider, to process the tens of thousands of donations that come through our website each year. The bulk of those donations come in through GiveBIG events, but the capability to receive online donations for organizations with profiles on our website is available year round. Click & Pledge also offers a very competitive transaction fee of 2.85%, with no monthly maintenance fee. 

Here’s how you can check if your nonprofit has a Click & Pledge account.

  • Search for your organization’s profile on our website by going to www.seattlefoundation.org/npos/Pages/FindANonprofit.aspx and either using the search box at the top of the page or scrolling through the whole list of nonprofits. (Don’t have a profile? Go to www.seattlefoundation.org/nonprofits to see how to get one.)
  • Select your organization’s name to view your profile page.
  • Go to the big Donate Now button on your organization’s profile page and mouse over it. A pop-up window will appear.
If it looks like this, with a "Make a credit card donation" option, then your organization is signed up for Click & Pledge.

If it looks like this, with a “Make a credit card donation” option, then your organization is signed up for Click & Pledge.

 

If it looks like this, with no credit card option, then your organization is NOT signed up.

If it looks like this, with no credit card option, then your organization is NOT signed up.

 

If your organization does not have Click & Pledge, then sign up now. Your organization can participate in GiveBIG only if you are signed up for Click & Pledge!

This is a reminder for fiscally sponsored organizations that do not yet have a profile on The Seattle Foundation website:

If you would like to participate in GiveBIG 2014, please make sure you have submitted your profile query and your fiscal sponsor has signed up for Click & Pledge (if they haven’t already) by Monday, February 3. (Only the  query and Click & Pledge application are due on February 3; you will still have time to complete your profile after that.)

If you already have a profile on our website and your sponsor has signed up for Click & Pledge, then you are eligible to participate in GiveBIG!

The reason that we have set an earlier deadline for fiscally sponsored organizations is because these relationships require additional time to process and verify. Last year, we ran into some issues with fiscally sponsored organizations and were unable to resolve them in time for the event. We don’t want that to happen this year!
